How to select the right software for your business?

Date: 05/10/2018

There are a number of factors that determine the selection of software that is most suitable for your business. Do note that there is and never will be a “right” and 100% suitable software (unless it is custom developed but even then you most likely wont reach a hundred percent). On the other hand, there are however “wrong” kinds of software that are definitely not suitable for your business. In order to find software that is as close to the “100% right” as possible, you first need to identify and determine the features that are most and least important to you and your business. Generally it is advisable to always consider the following criteria:

  • Specific Requirements
  • Costs
  • Implementation Time frame
  • After Sales Support
  • User Friendliness
  • IT infrastructure required
  • Cloud Based vs locally hosted

In order to determine which software may be most suitable for your business, you are encouraged to ask questions like the following:

  1. What do I want the software to take over?
  2. What do I want to keep doing manually?
  3. What is my budget? Is this a one-off budget or can we spread the budget over several years?
  4. How is the software hosted? (Cloud-based? On your internal servers?)
  5. What country is it hosted in?
  6. What level of after sales support do I require?
  7. How many people will be using the software?
  8. Do I need to upgrade my existing infrastructure just to be able to use the software?
  9. Can I access it on my mobile phone / tablet?
  10. Is user training provided?
  11. Is the software user friendly?

Answering these questions will help you understand your requirements better and will ease your software selection process to ensure you choose the software that is most suitable to your business.

Click here to download our Product & Service Questionnaire template that will ease the above described selection and identification process. You may find to get even better results by having 3 key decision makers in your firm to fill out their own individual product & service questionnaire and once completed to compare any overlaps and differences. This will show you that the overlapping attributes, as for example the question: “Is it important that you can access the software on your mobile phone” and all 3 key decision makers answer “yes” it is clear that this is a must, whereas highly differing answers require further analysis in order to determine why the answers differ.
